How to Use AI for Inventory and Par-Level Spreadsheets (You Supply the Counts and Numbers)

Published · 2 min read

Par levels say how much of each item you want on hand so you do not run out or overbuy. AI is very good at helping you set up a spreadsheet and write the formulas. The numbers (counts, usage, delivery days) come from your business. This guide is part of the AI for Bar and Restaurant Owners hub.

Caution: AI can write wrong formulas and does not know your sales, suppliers or storage. Test the sheet with known numbers. Do not use AI to decide food safety, storage temperature, shelf life or alcohol inventory rules; use your food-safety program, health department and state alcohol authority. All numbers are yours. General information, not food-safety or legal advice.

Set up the sheet

Describe the columns you need: item, category (liquor, beer, wine, produce, dry goods), unit, supplier, current count, par level, order amount, delivery days and cost per unit if you track it. Ask AI for the layout and the formulas, for example 'order amount = par minus current count, never below zero'.

Set pars from your own data

Use your own sales and usage history, delivery schedule and storage space to choose pars. AI cannot know your busy nights. Start with a rough par, track for a few weeks and adjust.

Test before you rely on it

Enter a few items with known numbers and check the formulas by hand. Look for blanks, negative orders and rounding.

What the sheet cannot do

It does not replace food-safety rules (first in, first out, temperatures, dating) or your state's rules on alcohol records and purchasing. Follow your health department and alcohol authority.

A spreadsheet prompt

Help me build an inventory and par-level sheet for a bar and restaurant in [EXCEL / GOOGLE SHEETS]. Columns: Item, Category, Unit, Supplier, Current Count, Par Level, Order Amount, Delivery Days, Notes. Write the formula for Order Amount = Par Level minus Current Count, never below zero, and show how to highlight rows where Current Count is below 50% of Par. Explain each formula in plain words and give me a 5-row sample with made-up numbers I can replace. Do not suggest par levels; I will enter them.

Check it before you use it

  • Formulas gave the right answers on a known test.
  • Par levels come from your own sales and delivery data.
  • Units are consistent (cases versus bottles, pounds versus each).
  • The sheet does not replace your food-safety or alcohol-records requirements.
  • Staff know who counts and when.

Frequently asked questions

Can AI decide my par levels?

It can suggest a method, but pars depend on your sales, deliveries and storage. Use your own data.

Can AI read my invoices and count stock from photos?

Some tools try. Check results carefully, and avoid uploading sensitive supplier or financial data to general tools.

Do I need special software?

A spreadsheet is enough to start. Dedicated inventory software exists; compare options on their own sites.

How often should I count?

Set a routine that fits your business, such as weekly for liquor and more often for fast-moving perishables, and stay consistent.
