Plain AI Guide

How to Use AI to Explain Repairs to Customers in Plain English (After You Diagnose)

Published · 2 min read

Customers trust tradespeople who explain things clearly. You already know what was wrong. AI can help you put it into words a homeowner can follow, in a short note, handout or message. The diagnosis stays yours. This guide is part of the AI for Plumbers and Trades hub.

Caution: AI does not know your local code, your license rules or the conditions at the job site. Plumbing, gas and electrical work must follow the code adopted where the job is, your license, permit and inspection requirements and manufacturer instructions. Never use AI to decide what is safe or code-compliant. All prices, hours and totals come from you. General information, not professional or legal advice.

The idea

Give the AI your own diagnosis and what you did, then ask for a short, friendly explanation at a non-technical level, plus a line on what the customer should watch for. Keep the technical facts exactly as you stated them.

What not to hand to AI

Do not ask AI to diagnose the problem, decide what is dangerous, say whether work meets code or recommend a repair method. It has not seen the system and may be wrong. Safety guidance should come from you, the manufacturer or the utility.

Be honest about options

Explain what is urgent, what can wait and what is optional, and why, in your own judgment. Customers should be able to choose. Do not let AI exaggerate risk to sell work.

Keep a record

Save the explanation with the job file so you and the customer have the same record of what was found and advised.

An explanation prompt

Explain the repair below to a homeowner in plain English, at a middle-school reading level, in under 120 words. Use only my notes. Do not add causes, risks, safety advice or code claims that I did not write. Structure: what was wrong, what I did, what to watch for [ONLY IF IN MY NOTES], and what is optional or can wait.
MY NOTES: [YOUR DIAGNOSIS AND WORK DONE. NO CUSTOMER NAME OR ADDRESS]

Check it before you use it

  • Urgent, optional and can-wait items are honestly separated.
  • No safety or code claims were added by AI.
  • The wording is clear and respectful.
  • A copy is saved with the job record.

Frequently asked questions

Can AI tell a customer if something is dangerous?

No. That judgment is yours as the professional, based on the actual conditions and your training.

Can I give the customer the AI text as is?

Review it for accuracy and add your voice. Make sure it says exactly what you found and advised.

Can AI make a diagram of the repair?

Not reliably. A wrong diagram can mislead customers. Use your own sketches or manufacturer diagrams.

How do I keep it short?

Ask for under 120 words and three headings: what was wrong, what I did and what is next.
