How to Use AI for Plumbing and Trade Quote and Estimate Templates (Your Scope, Your Numbers)
A good quote tells the customer what you will do, what is included, what is not and what could change the price. AI can help you build a reusable template and polish the scope wording. The prices, parts and labor figures come from you. This guide is part of the AI for Plumbers and Trades hub.
Caution: AI does not know your local code, your license rules or the conditions at the job site. Plumbing, gas and electrical work must follow the code adopted where the job is, your license, permit and inspection requirements and manufacturer instructions. Never use AI to decide what is safe or code-compliant. All prices, hours and totals come from you. General information, not professional or legal advice.
Build a template once
Describe how you normally quote a common job, such as a water heater replacement or a fixture swap, and ask AI to turn that into a template with blanks for the details. Reuse it for each job instead of starting from scratch.
Good sections for any quote
- Customer and job address (placeholders until you fill them in).
- Work to be done, in plain words.
- Materials and parts included, and who supplies them.
- What is not included (permits, repairs to hidden problems, drywall or paint, etc.).
- What could change the price, such as finding rotted pipe or other hidden conditions, and how you will tell the customer first.
- How long the quote is valid and how scheduling works.
Your numbers, your terms
Enter prices, quantities and totals yourself, in your estimating or invoicing software, and double-check them. Payment terms, warranty language, cancellation terms and anything that has legal effect should be wording that your attorney or trade association reviewed, not wording AI invented.
Permits and code
If a permit or inspection applies to the work, say so only on the basis of your local rules. Check with your local building department and do not let AI tell the customer what the code requires.
A quote template prompt
Create a reusable quote template for a plumbing business for the job type: [JOB TYPE, e.g. water heater replacement]. Use plain language a homeowner understands. Sections: work to be done, materials included, what is not included, what could change the price and how we will tell the customer, scheduling, and quote validity [OUR NUMBER OF DAYS]. Put every price, quantity and total as a blank like [PRICE]. Do not state code requirements, permit requirements, warranty terms or prices. Write [OWNER TO CONFIRM] where something depends on local rules.
Check it before you use it
- You entered and double-checked every number.
- Inclusions and exclusions match how you really work.
- Warranty and payment terms are your own reviewed wording.
- Permit and code statements come from your local rules, not from AI.
- No customer details were put into the AI tool.

Frequently asked questions
Can AI work out how much to charge?
No. Pricing depends on your costs, market, license and risk. Use your own numbers.
Should my quote mention code compliance?
Only what you can stand behind from local rules and your own work. Ask your attorney about warranty and compliance language.
Can I send a quote by text?
If the customer is happy with it and your records keep a copy, yes. Keep the same content and details as a written quote.
How long should a quote be valid?
That is your business decision. Material costs change, so many businesses set a limit; put it on the quote.
