How to Use AI to Reply to Restaurant and Bar Reviews (and Never to Write Them)
Reviews drive walk-ins, and a thoughtful reply shows future guests how you treat people. AI can draft calm replies to praise and complaints quickly. Keep the replies honest and private, and never use AI to write reviews yourself. This guide is part of the AI for Bar and Restaurant Owners hub.
Caution: Do not reveal private details about a guest, their party, or what they ordered or drank in a public reply. Do not write, buy or generate fake reviews, including with AI. If a complaint involves illness, an allergic reaction or an injury, do not argue in public; contact the guest privately and tell your manager and insurer, and ask an attorney if needed. General information, not legal advice.
Replying well
- Thank guests for praise and mention one detail they liked.
- For complaints, thank them, apologize for the experience and invite them to contact you by phone or email to fix it.
- Keep it short, calm and specific, and never argue.
The FTC rule
The FTC's rule on consumer reviews and testimonials, effective October 21, 2024, bans fake or false reviews, including ones that misrepresent that the reviewer exists or had a real experience, so writing or generating reviews of your own place, or having staff or AI do so, is prohibited. It also addresses buying reviews conditioned on sentiment and certain kinds of review suppression (see 16 CFR 465.2 and 465.7). Ask real guests for honest reviews and respond to real ones.
Food-safety and allergy complaints
Take these seriously. Reply briefly in public, move the conversation private and follow your internal incident process. Do not let AI decide what happened or admit or deny fault.
A review-reply prompt
Write a short public reply from a restaurant and bar owner to the review below. Do not mention any personal details, what the guest ordered or drank, or details of their visit beyond what a general reply needs. If the review is negative: thank them, apologize that the visit did not meet expectations, say we take it seriously and invite them to contact [CONTACT METHOD]. If positive: thank them warmly. Under 60 words, calm and friendly.
