Plain AI Guide

How to Use AI to Write a Small Business FAQ (and Check Every Answer)

Published · 2 min read

A good FAQ answers the questions customers keep asking and saves you hours of repeat replies. AI can turn your notes into clear question-and-answer pairs. The risk is that it fills gaps with plausible guesses, so each answer must come from facts you gave it. This guide is part of the AI for Small Business Owners hub.

Caution: Do not paste customer personal data (names, contact details, payment or account information), contracts, employee records or tax documents into a general AI tool. Check every fact, price, date and promise yourself before anything goes out. Contracts, tax and legal questions need a qualified professional. General information, not legal or tax advice.

Collect the real questions first

Look at your inbox, texts, DMs and the questions customers ask in person. List the top ten. Real questions beat made-up ones, and you know the true answers.

Give the AI your facts

For each question, write the facts in a line or two: hours, areas served, policies, how booking works. Tell the AI to use only those facts and to write [YOU DECIDE] when a fact is missing.

Policies need care

Refund, cancellation, warranty and safety answers are promises. Write those yourself or have them checked by someone qualified, and make sure they match your actual terms.

Publish and keep it current

Put the FAQ on your site or give it to staff, and review it when anything changes. An outdated FAQ is worse than none.

A FAQ prompt

Write a customer FAQ for a small [TYPE OF BUSINESS]. Use only the facts below. Write each answer in 2 to 3 plain sentences. If a question needs a fact I did not give, write [OWNER TO FILL IN] instead of guessing.
Question list and facts:
1. [QUESTION] - [FACTS]
2. [QUESTION] - [FACTS]
3. [QUESTION] - [FACTS]

Check it before you use it

  • Every answer is true today and matches your actual policies.
  • No [OWNER TO FILL IN] notes remain.
  • Refund, warranty, safety and legal answers were checked carefully or written by you.
  • Contact details and hours are correct.
  • You set a date to review the FAQ again.

Frequently asked questions

Can AI guess what my customers ask?

It can suggest typical questions, but your real inbox is a better source. Use AI suggestions as a prompt for thinking, not as facts.

Can I use AI to write my return policy?

AI can help with wording, but a policy is a promise. Decide the terms yourself, and have a professional review anything with legal weight.

Does a FAQ help with search?

Clear question-and-answer content can help visitors find answers, but nothing is guaranteed. Write for customers first.

How often should I update it?

Whenever hours, prices, policies or services change, and at least a couple of times a year.
